Fourteen centres. Fourteen different inboxes.
Dnyanal Educon runs fourteen education centres across Maharashtra. Each centre has its own counselling team, its own inbox, and its own informal way of working. From the candidate's side, however, there was only one website and one contact form.
Routing was manual and inconsistent. Which centre responded depended on who was free that day. Some centres replied in two hours, others took two days. During the gap, candidates often chose a competitor with a faster response.
Worse, candidates contacting one centre sometimes got routed to a different city's team. The leadership had no centralised view of which centres were strong and which were struggling at the qualification stage.
Coordinating fourteen centres used to mean fourteen different inboxes and inconsistent follow-up. We were leaking pipeline to our own complexity.
What we built, in four moves.
Coordinating fourteen centres used to mean fourteen different inboxes and inconsistent follow-up. Now every enquiry arrives in the right inbox, already qualified, with the campaign attached. That is what scale should feel like.
