General Principle
MagicFlow AI is a subscription-based SaaS and AI automation product. Once a subscription, setup, onboarding, integration, AI usage, managed configuration or custom implementation has started, fees are generally non-refundable unless stated in this Refund Policy, required by law or agreed in writing.
We aim to be fair and transparent. If there is a genuine billing error, duplicate payment, failed service activation or exceptional issue caused by us, we will review refund requests in good faith.
Free Trials and Demos
Where a free trial, demo, pilot or proof-of-concept is offered, Customers are encouraged to evaluate the service before purchasing a paid plan. Unless expressly stated otherwise, the availability of a demo or free trial does not guarantee refund eligibility after a paid subscription begins.
Subscription Fees
- Monthly subscription fees are generally non-refundable once the billing period has started.
- Annual subscription fees are generally non-refundable after the plan is activated, except where a written proposal, order form or specific offer states otherwise.
- Renewal charges are non-refundable if the subscription was not cancelled before the renewal date.
- If you do not wish to continue, you must cancel before the next billing cycle as described in the Cancellation Policy.
Setup, Onboarding and Managed Launch Fees
Fees for setup, onboarding, chatbot configuration, website integration, managed launch support, training, consulting, implementation, custom workflows, custom AI prompts, CRM integrations or similar professional services are non-refundable once work has started.
If a project is cancelled before work begins, we may refund the unused portion after deducting payment gateway charges, taxes, administrative costs and any work already performed.
AI Usage, Credits and Add-ons
AI credits, usage-based charges, extra conversations, extra leads, extra seats, add-on features, API usage, storage, premium integrations and similar usage-based items are non-refundable once consumed, allocated, activated or made available. Unused credits may expire at the end of the billing period unless the plan or order form states otherwise.
Eligible Refund Cases
A refund may be considered where:
- You were charged twice for the same plan and billing period.
- A payment was processed in error due to a technical issue.
- You were charged after confirmed cancellation, provided cancellation was completed before renewal.
- We are unable to activate your paid account due to reasons solely attributable to MagicFlow AI.
- A paid plan was materially unavailable for an extended period and no reasonable workaround or service credit is offered.
- A refund is required under applicable law.
- A refund is approved in writing by MagicFlow AI.
Non-refundable Cases
Refunds are generally not available where:
- You changed your mind after purchase.
- You forgot to cancel before renewal.
- You did not use the service during the billing period.
- You no longer require the service.
- Your website traffic, lead volume, conversions, sales or revenue did not meet expectations.
- AI responses require tuning, training or configuration changes.
- You provided incomplete, inaccurate or unsuitable Customer Content.
- A third-party integration, CRM, hosting provider, email provider, payment gateway, browser, website platform or external system caused the issue.
- Your account was suspended or terminated for violation of our Terms.
- You purchased through a reseller, agency, partner or third-party marketplace whose own refund terms apply.
Refund Request Process
To request a refund, contact us within 7 days of the charge, unless a different period is required by law or stated in your order form. Your request should include:
- Account email.
- Company name.
- Invoice number or transaction ID.
- Date and amount of charge.
- Reason for refund request.
- Relevant screenshots or supporting details.
We may request additional information to verify the claim.
Refund Timeline
Approved refunds will generally be processed within 7 to 15 business days from approval. Actual credit to your bank account, card, wallet or payment method may take additional time depending on banks, payment gateways, card networks and settlement systems. Payment gateway charges, bank charges, currency conversion fees and taxes may be non-refundable unless required by law.
Taxes and GST
Where GST or other taxes have been charged, refund treatment may depend on applicable tax laws, invoice status, credit-note requirements, filing status and accounting rules. We may issue a credit note where required or appropriate.
Chargebacks
If you initiate a chargeback without first contacting us, we may suspend your account while the dispute is investigated. False or abusive chargebacks may result in account termination and recovery of costs where permitted by law.
Service Credits
In some cases, we may offer service credits instead of a cash refund. Service credits have no cash value and may be used only for future MagicFlow AI services, unless otherwise stated.
